What does Flexwhere's implementation process look like?

In this article we'll take you through our Implementation process, step by step. 

Step 1: Signing up with Flexwhere

Flexwhere offers different packages and payment options to match your organisation’s needs. Once everything’s agreed and signed off, our Sales Team will introduce you to our Implementation Specialists. They’ll ask a few questions to get the set-up just right. This document helps explain what we need and why. Don’t worry, we’ll guide you through it step by step.

Step 2: Preparing your Flexwhere environment

We want what you want, a successful implementation. One where you and your team get the value expected out of our software. Our implementation team will guide you through the set-up of your Flexwhere environment. What is this? 

This includes things like setting up your office floor plan, making sure the layout is correct, and placing your resources in the right spots. It also means linking devices to the right locations — like assigning docking stations to desks or connecting electric vehicle charging stations to specific parking spaces.

We'll take the time to work with you through this set-up process and will share information with you on the following topics: 

  • Adding and checking your floor plans;
  • Placing desks, meeting rooms, and work zones;
  • Going through the different roles in Flexwhere;
  • How to add users and devices 
  • Sharing information on the possible integrations you might need;
  • Training (if needed) - on both the user interface and how to book desks for example
  • Explaining what is available in the Control Centre, and how the settings affect the implementation (for example, how long in advance can a user book a desk). 
  • Which applications will your organisation be using (we have our web app, desktop app - for Windows or iOS, and a mobile app - for Android and iOS) 

Step 3: Using Flexwhere

This is where the fun starts, and you and your team can start using Flexwhere. Depending on your set-up, your team should be able to log in quite easily to your Flexwhere environment.  We recommend sharing this User manual with your team so they can quickly and easily start making the most of Flexwhere. 

Step 4: Completion and Handover

Once the implementation is complete and your team has started using Flexwhere, we'll ask you to complete a short survey to share your experience of the implementation process.
