Good meetings often come with good coffee, snacks, or even lunch. But organising that? That usually means extra emails, separate systems, and last-minute coordination.
Not anymore.
With Flexwhere’s new catering feature, you can now add catering directly when booking a meeting room—making the whole process simpler, faster, and more organised.
When booking an ad hoc meeting room, users can now easily add catering to their booking. Whether it’s drinks, snacks, or meals, everything is arranged in just a few clicks. No switching tools. No back-and-forth emails. Just one clear workflow.
Admins stay fully in control of how catering works within their organisation. In the Control Centre, you’ll find a new Catering tab where you can enable or disable the feature whenever you like (it’s off by default). From there, you can add caterer email addresses per location, ensuring the right people are always notified.
You can also define your own supported catering options across three categories: drinks, snacks, and meals. This keeps ordering simple and consistent, while still giving users enough flexibility.
Caterers automatically receive all the important details—like time, location, and selected items—by email. If anything changes, like an update or cancellation, they’re notified instantly.
Meeting invitees are also kept informed, with catering details included in their invite. That means fewer surprises and better-prepared meetings.
In a hybrid work environment, meetings are often planned quickly, and expectations are high. Catering shouldn’t slow things down. By bringing catering into the booking flow, Flexwhere helps teams save time, reduce coordination, and focus on what really matters: the meeting itself.
The catering feature is available for organisations on the Business and Meeting Room plans, and also the free 30-day Business Trial.
Turn on catering in the Control Centre and try it out for your next meeting. Because great meetings don’t just happen. They’re well planned… and well fed 🍽️
