Is the Flexwhere Business trial really free?

Yes. Every new Flexwhere account starts with a 30-day free trial of the Business plan. During this period you can use most of the features without payment or commitment.

What happens after the 30-day free trial ends?

After 30 days, your account automatically moves to Flexwhere Basic if you do not upgrade. Your office setup remains available, but some advanced features will be disabled or limited.

Do I need to enter payment details to start the trial?

No. You can start the 30-day trial without entering payment details. You only need to choose a paid plan if you decide to upgrade after the trial.

Can I upgrade to Flexwhere Business during the trial?

Yes. You can upgrade to a paid plan at any time during the trial to keep access to all advanced features, analytics, and integrations without interruption.

Will my data stay if I downgrade to Flexwhere Basic?

Yes. Your floor plan, users, and basic settings remain available when your account moves to Flexwhere Basic. Some advanced features such as extended booking windows, integrations, and advanced analytics will be disabled until you upgrade again.

During the trial you can use the full Flexwhere Business plan, including smart floor plans, desk booking, colleague overview, analytics, calendar integration, and asset management.

Phase 1: The Essentials (Days 1–3)

✅ Access the Control Centre: Log in to your admin dashboard to manage your settings and layout.

✅ Create Your Floor Plan: Upload your office layout and use the drag-and-drop tool to place desks and meeting rooms.

✅ Add Details: Use labels and tags (like "sit/stand" or "double monitor") so your team can find the exact equipment they need.

✅ Invite Your "Pioneer" Users: Add 2–3 colleagues to help test the platform.

✅ Get the App: Download the Flexwhere mobile app from the Google Play or Apple Store to book on the go.

Phase 2: Team Activation (Days 5–10)

✅ Invite a few more colleagues: Add more colleagues via the Control Centre.

✅ Set Your Favorites: Use the Buddy List to star your close collaborators so you can see when they are in the office.

✅ Populate Your Data: Ask your invited colleagues to book a spot and hit "Occupy" in the app. This ensures the system captures real-time occupation data for your reports.

✅ Check Your Heatmaps: Once your team has made a few bookings, visit the Control Centre to see your first Usage Statistics and occupancy visualisations.

Phase 3: Optimising the Experience (Days 13–25)

✅ Connect Your Calendar: Sync your meeting rooms with Outlook or Google Calendar to prevent double-bookings.

✅ Set Up Assets: Explore managing extra resources like parking spots or pool cars.

✅ Choose Your Permanent Plan: Compare the Standard and Business tiers to decide which features your organisation needs long-term.

What happens on Day 31?

We believe in a "Soft Landing". If you choose not to upgrade at the end of your trial, here is what happens:

Automatic Transition: Your account will automatically move to the Flexwhere Basic plan.
Free Forever: You keep the essentials—simple desk booking and colleague-finding—at no cost.
Data Safety: We won’t delete your floor plans or settings. Advanced features (like custom roles or asset booking) will simply be unavailable until you decide to upgrade.

Your Questions, Answered:

No! Your "digital office" remains as you built it. You can continue to use your floor plan for desk and ad-hoc room bookings. The added resources (parking spots and pool cars) will however be deleted on your floor plan.

If you booked a desk 3 weeks in advance while using the Business Trial, that booking will still be honored. However, starting on Day 31, you will only be able to make new bookings up to 8 days in advance.

Your historical data, certain asset settings, and integrations will be disabled when downgrading. As soon as you upgrade to a Business plan, you will have access to booking and occupation data again. You will however need to reconnect any integrations.

On the Business Trial and the Basic plan, you are limited to one Administrator. If you would like to have more than 1 Admin, please upgrade your Flexwhere Plan.
