How to log in to Flexwhere

You can log in to Flexwhere using your email address and password or your organisation’s Single Sign-On (SSO).

Your Flexwhere login works across web, mobile and the Control Centre, so you can easily access Flexwhere wherever you need it.

Log in with your email and password

To log in with your Flexwhere account:

  1. Open Flexwhere and enter your email address.
  2. Enter your Flexwhere password.
  3. If you belong to multiple organisations, select the organisation you want to access.
  4. You’re in!

If you only belong to one organisation, you’ll go directly to Flexwhere after signing in.

Logging in as an admin

If you’re a Flexwhere admin, Multi-Factor Authentication (MFA) is required for additional security.

After entering your email and password, verify your identity using:

  • A code sent by SMS, or
  • A code from your authenticator app.

You can select Trust this device to skip MFA verification on that browser and device for the next 28 days.

Log in with SSO

If your organisation has Single Sign-On enabled, select your organisation’s SSO option on the login screen and authenticate with your work account.

You don’t need to enter a separate Flexwhere password or complete Flexwhere MFA when signing in with SSO.

If your email address belongs to multiple organisations, you can select the organisation you want to access after signing in.

I don't have a Flexwhere password yet. What should I do?

Enter your email address on the Flexwhere login screen.

If you don't have a password yet, we'll send a 6-digit verification code to your email address. Enter the code in Flexwhere and you'll be asked to create a password.

You only need to create your password once.

I used to log in with an email link. What has changed?

Flexwhere is moving from email login links to password or SSO login.

You won't suddenly be logged out. If you're currently signed in, you can continue using Flexwhere as usual.

The next time your session expires or you log out, you'll use the new login. If you don't have a password yet, we'll guide you through creating one.

Why has the Flexwhere login changed?

The new login makes accessing Flexwhere easier while improving security.

Stay logged in longer – Stay signed in on web for up to 30 days, with even longer sessions on mobile.

I already use the Control Centre. Do I need to create a new password?

No. Your password is already set up.

You can continue using the same password and your existing verification method, such as an authenticator app or SMS.

My organisation uses SSO. Does anything change?

No. You can continue signing in with your organisation’s SSO as usual.

I belong to multiple organisations. Do I need multiple passwords?

No. You use one Flexwhere account and one password, even if you belong to multiple organisations.

After signing in, simply select the organisation you want to access.

I forgot my password. What should I do?

Select Forgot password? on the password screen.

Enter your email address and we'll send you a password reset link. Follow the instructions in the email to create a new password.

Password reset links expire for security reasons. If your link has expired, return to the login screen and request a new one.

How do I change my password?

When you're signed in to Flexwhere, open your user menu and select Change password.

Follow the instructions to create a new password. Once your password has been changed, you'll be redirected to the login screen where you can sign in with your new password.

I didn't receive my verification email. What should I do?

Check your spam or junk folder first.

If you still can't find the email, select the option to send the code again. If you receive multiple codes, always use the latest code.

My verification code doesn't work. What should I do?

Email verification codes are valid for 10 minutes. SMS verification codes are valid for 5 minutes.

If your code has expired, request a new one and enter the latest code you receive.

Why is my account temporarily locked?

Flexwhere temporarily locks your account after five unsuccessful login attempts to help protect your account.

Wait 10 minutes before trying to log in again.

How do I set up MFA as an admin?

You can verify your identity using an authenticator app or SMS.

If you choose an authenticator app, Flexwhere will first verify your email address. You can then scan the QR code with your authenticator app and enter the generated code to complete the setup.

If you choose SMS and your phone number hasn't been verified yet, you'll first be asked to add and verify your phone number.

Why do I keep being asked for MFA?

When completing MFA, select Trust this device if you want Flexwhere to remember your browser and device.

Once trusted, you can skip MFA verification on that browser for 28 days.

Make sure you're using the same browser and device.

I lost access to my authenticator app. What should I do?

If SMS verification is available for your account, select SMS as your alternative verification method.

If you can't access either verification method, contact your Flexwhere administrator or Flexwhere Support.

I can't log in with SSO. What should I do?

Your email address must be registered with Flexwhere.

If you see a message that you're not registered, contact your Flexwhere administrator. They can check whether your account has been added correctly.

I'm using an old Flexwhere login link and it doesn't work. What should I do?

The previous email-link login is being retired, so old login links may no longer work.

Return to the Flexwhere login page and enter your email address to start the current login process.
