What are the different statuses of the workplaces?

To provide a clear at-a-glance overview of available and unavailable workspaces, the icons in Flexwhere use different colors and, in some cases, different patterns

  • Available (green)
  • Reserved (yellow)
  • Occupied (red)
  • Locked (yellow)
  • Out of service (gray)
  • Not reservable (gray striped)
  • Reserved but still available for at least the next 2 hours (green with dots)
  • Reserved or locked but still available for at least the next 2 hours (yellow with dots)
  • Occupied but available again later today for at least 2 hours (red with dots)

The difference between the booked state and the locked state is explained below using an example situation:

Sample situation:
- Employee reserves a workstation from 8:00 a.m. to 6:00 p.m.
- Is in the office from 9:00 a.m.
- Takes 1-hour break from 1:00 p.m. to 2:00 p.m.
- Occupies the workstation again from 2:00 p.m.
- Not in the office from 4:00 p.m.
- Reservation ends 6:00 p.m.

1. Situation when the workplace is booked:

50 min locked as set in the Control Center > "Release locked workplaces" (see image below) . Only Admin(s) can change this setting.

Once the 50 min are up, the status goes back to reserved (no change in color).
This setting is therefore only relevant when you have NOT reserved the workspace you are occupying, so that the status does not immediately go back to "Available" (green) when you lock your screen to, for example, go get a coffee.

2. Same situation, when the workstation is not booked:

exclamation-circleNotice: Reserved status is not included as occupancy in the statistics.
