News Easily see desks that have been booked for part of the day

When you're planning your workday, you want clarity—fast. Is that desk free all day? Or just for an hour or two? Good news: Flexwhere now makes it crystal clear.

Introducing the desk availability indicator — a smart new way to instantly see not just if a desk is booked, but when it’s available.

Know exactly when desks are free

Until now, a desk booked at any time during the day appeared yellow on the map, even if it was only reserved for a few hours. Not anymore!

Now, Flexwhere shows you exactly when a workplace is free — and when it’s not — using simple, intuitive colour and dots indicators:

  • Green with dots 🟢: Available for at least 2+ continuous hours from now

  • Yellow with dots 🟡: Occupied soon but becomes free later today

  • Red/yellow with dots 🔴: Occupied now but free later

This way, you can easily spot desks that fit your schedule without clicking around.

Want more info? Just hover

Hover over any workplace on the map, and you’ll see more detailed booking info: when it’s free, when it’s booked, and for how long.

See availability for future bookings

And it’s not just for today—this feature also works when you're planning bookings on future dates.

Maximise desk usage

Whether you’re booking a desk on web, desktop, or mobile, the Desk Schedule Indicator helps you:

  • Find short-term availability at a glance.

  • Plan smarter if you're coming in late or just for a few hours.

  • Make better use of available spaces without the guesswork.

Easily turn on or off for a custom experience

Prefer the simple map view? No problem. The desk availability indicator is on by default but you can turn it off anytime in your settings.

Note: Blocked desks and workplaces you’re not authorised to book won’t display these indicators, keeping your map clean and focused.

This small change means big savings on your time—and a smoother experience finding your spot. Try it out now in Flexwhere!
